Terms and Conditions for Media Equipment Loans 
Version 1.0 (Fall 2024) 

 

1. Introduction 
University students and academic staff may borrow media equipment and accessories on a loan basis subject to the terms and conditions set out below. Given the high demand and cost of audio-visual, video, and photographic equipment, the University aims to manage these resources effectively and fairly. By borrowing equipment, users agree to comply with these terms and conditions.

3. Equipment Ownership and Loan Requests 
3.1 Eligibility 
To borrow equipment, you must be: 

  1. A student currently enrolled in the BA in Creative Arts and Humanities program or Arts and Sciences BASc at UCL. 

  1. A member of academic staff in Arts and Sciences BASc, currently employed by UCL, with a valid staff/employee number. 

Additionally, you must: 

3.2 Priority 
Priority will be given to students enrolled in a moving image course within the BA Creative Arts and Humanities program. While we strive to accommodate all requests, we reserve the right to deny requests based on short notice, limited resources, or time of year. 

3.3 Availability 
Equipment is primarily for BA Creative Arts and Humanities students but may be accessed by the broader Arts and Sciences department based on availability and approval. Requests from students or staff outside of the BA Creative Arts and Humanities program require explicit approval from the Head of Department. Such requests must be submitted in writing and include justification for the loan. 

3.4 Approval Process 
Submit equipment loan requests through the SISO Smart Hub Site: SISO Smart Hub. A university email address is required to activate your account. Loan requests are subject to approval by the program’s film-making technician and/or tutor. Bookings must be made at least two working days before your desired collection date to ensure availability and preparation. 


3.5 Loan Period 
Equipment may be borrowed during term time for a period specified at the time of loan. Extensions must be requested at least 48 hours before the due date and are subject to approval and loan store hours. 


3.6 Risk Assessment 
Students in a Moving Image course will agree to a set of risk management principles for the term. Students not enrolled in a Moving Image course must submit a risk assessment with their equipment loan request via SISO Smart Hub. 


3.7 Responsibility 
Students are responsible for the care and timely return of loaned equipment. All equipment remains UCL property. Students must adhere to the UCL Code of Conduct and ensure equipment is not used for illegal activities. Violations may result in an automatic ban and referral to appropriate authorities. 


3.8 Community 
Please recharge all rechargeable batteries or replace any disposable batteries before returning the equipment. Ensure equipment is packed appropriately for the next user. 


3.9 Damage, Loss, or Theft 
Report any damage, loss, or theft immediately to the technician and tutor via email. For theft, file a police report and submit a copy to your technician within 48 hours. The University reserves the right to invoice you for repair costs or the full value of the equipment if damaged, lost, or not returned. 


3.10 Agreement 
By requesting equipment, you agree to abide by these terms and conditions. Non-compliance may result in suspension of loan privileges and/or further disciplinary action.
